GCSL/TPL League

The decision of which league your team will play in is collaboration between the team’s coaching staff and the club’s DOC’s. Make sure you check with TFA’s Directors of Coaching to determine if your team is participating in the GCSL league. 

The information presented below is meant to be a guide for Coaches and Team Administrators of teams participating in the GCSL or TPL League.  Always refer to the GCSL website, www.gcslsoccer.com, for the most up-to-date league information.  Questions regarding GCSL registration can be directed to Lisa Haussler, Club Administrator at clubadministrator@tfacincinnati.com.

NEW TEAM REGISTRATION

 

Overview for new team registration:

Step 1     Enter coaches and players into the online GCSL registration system.
Step 2     Click on link to email parents and coaches instructing them to E-SIGN.
Step 3     Gather required paperwork for coaches and players.  Upload pictures.
Step 4     Drop off or scan/email all paperwork to the Club Administrator for processing.
Step 5     Pickup paperwork from the Club Administrator and print approved roster.

Step 1     Enter coaches and players into the online GCSL registration system.

 

Refer to the How to use the GCSL website.pdf document for instructions on how to log into and use the site.  Contact the Club Administrator for your team's login information.

  • Log into the Team Admin area of the GCSL website to enter your roster.
  • Use the "Swap Assistant/Head coach with new coach" links to change the Head Coach or Assistant Coach from that which came over from the prior year.  Each team must have at least 1 Head Coach and 1 Assistant Coach.
  • Add new players using the "Add a new Player" button on the left-hand side.  The players associated with the team from the previous year will appear automatically.  Be sure to delete any players that are no longer on the team using the "Modify/Delete a Player" link.  Verify that the player information that came over automatically is still accurate.  Use the "Modify/Delete a Player" link to edit player information.

** Email addresses are now REQUIRED for all coaches and players.

 

Step 2     Click on the link to email parents and coaches instructing them to E-SIGN.

 

Click on the “Update/Modify Coach/Team Info” link.  Verify that you have at least 1 Head Coach and 1 Assistant Coach.  Verify that the information for each coach is accurate and complete.  Click on the “Send request to coach link”.  An email will be sent to the coaches instructing them on how to E-SIGN their USYSA Membership Forms. 

If the coaches did not receive the email, have them go to http://www.cuslsoccer.org/coaches/coaches_start.asp and login using the team number, coach first and last name, and coach phone number.  (This will only work if you already clicked on the "Send request to coach link" first.)

 

The “Approval requested?” column will display the date and time that the email went out.  The “Approval received?” column will show which coaches have completed the E-SIGN.

If the coach did not receive the original E-SIGN email, you can contact the Club Administrator to resend the email request.

Click on the “Modify/Delete a Player” link.  Verify that all your players are listed and that their information is accurate and complete.  Click on the “Send request for parental permission” link.  An email will be sent to the parents instructing them on how to E-SIGN their USYSA Membership Forms. 

 

If the parents did not receive the email, have them go to http://www.cuslsoccer.org/parents/parents_start.asp and login using the team number, player first and last name, and player DOB.  (This will only work if you already clicked on the "Send request for parental permission" link first.)

 

The “Approval requested?” column will display the date and time that the email went out.  The “Approval received?” column will show which parents have completed the E-SIGN.

If the parent did not receive the original E-SIGN email, you can resend the original request by clicking on the parent's email address.

Step 3     Gather required paperwork for coaches and players.

 

Gather the following paperwork for each player:

  1. Digital photo.  Head shot only.  File extension must be .GIF, .JPG, .PNG, or .BMP.  File must have width less than 640 and height less than 480 pixels.  File size must be less than 125000 bytes.  (Tip:  Download the free InfranView software to modify the file properties.)
  2. Proof of Birth (copy of birth certificate with DOB highlighted, NO hospital records, last year’s player card is acceptable proof of birth)
  3. Out of State Permission (only for IN or KY players)(see below)
  4. Medical Release Form (must be notarized) (see Team Admin>Important Documents)

Gather the following paperwork for each coach:

  1. Digital photo.  Head shot only.  File extension must be .GIF, .JPG, .PNG, or .BMP.  File must have width less than 640 and height less than 480 pixels.  File size must be less than 125000 bytes.  (Tip:  Download the free InfranView software to modify the file properties.)
  2. KidSafe/Risk Management Form (coach must sign)(good for 3 years)(see Team Admin>Coach Responsibilities)
  3. Concussion Certificate (must complete the NFHS online training course - good for 3 years) (see Team Admin>Coach Responsibilities)

Steps to upload pictures:

  1. Click on "Player photos (beta)" or "Coach photos (beta)" link on the left-hand side of the team menu.
  2. Click on the "Upload photo" link to upload a picture for a particular player or coach.
  3. Click the "Browse" button to locate the file on your computer and click "Upload".
  4. The photo will display on the screen.  Check and make sure that it clearly shows the head shot (not full size).  If the picture is not acceptable, delete and upload a new photo.

Step 4     Provide paperwork to the Club Administrator.

 

Once your entire roster is final and all coaches and players have been entered into the system, and all coaches and players have completed E-SIGN, hand in all paperwork to the Club Administrator for processing.

** Allow 2 weeks for processing.

Step 5     Pickup paperwork from the Club Administrator and print approved roster.

 

The Club Administrator will send an email when your paperwork has been processed and is ready for pick-up.  You will receive all paperwork back, along with laminated player and coach cards.

Once the league has approved the rosters, log back into the Team Admin area of the GCSL website.  Click on the “Print Regular Roster” link to print your roster.  (If the OSYSA stamp does not appear on the roster when it is printed, it means the league has not yet approved your roster.)

 

ROSTER CHANGES DURING THE SEASON

 

Teams that already have an approved roster for the seasonal year will use these steps to make subsequent roster changes.

Teams that do not already have an initial roster (including high school teams only playing in the spring) should refer to the NEW TEAM REGISTRATION section above.

     ** Note:  If you do not have any changes to your roster from the fall to the spring season, no action is required!

  • Log into the Team Admin area of the website to enter roster changes.
  • Use the “Add a player when registration is CLOSED” link to add new players when registration is CLOSED.  The Club Administrator will let you know when the system is OPEN vs CLOSED.  If the system is OPEN, you will use the "Add a new Player" link.
  • Use the “Swap Assistant/Head Coach with a new coach” links to make changes to your Head Coach or Assistant Coach.
  • Use the “Add new Assistant Coach” link when you only have 1 Assistant Coach and would like to add a 2nd Assistant Coach.

** No action is required on the website to remove players that are dropping or transferring.  The Club Administrator will do this in the system.

 

Step 2     Click on the link to email new coaches and parents instructing them to E-SIGN.

If adding a new player to your roster, you will need:

  • Digital photo.  Head shot only.  File extension must be .GIF, .JPG, .PNG, or .BMP.  File must have width less than 640 and height less than 480 pixels.  File size must be less than 125000 bytes.  (Tip:  Download the free InfranView software to modify the file properties.)

If transferring a player to your team from another team, you will need:

  • Old player card from previous team
  • Digital photo for new player card.  Head shot only.  File extension must be .GIF, .JPG, .PNG, or .BMP.  File must have width less than 640 and height less than 480 pixels.  File size must be less than 125000 bytes.  (Tip:  Download the free InfranView software to modify the file properties.)
  • Inter Team Transfer Form (signed by player & coach of team player is transferring from)(see Team Admin>Important Documents)
  • If the player is coming from a Buckeye Premier team, you must submit a copy of the Buckeye Roster Change Form showing the player being removed from the Buckeye roster.

Note:  If a player is transferring from your team to another team, the new team will hand-in the required paperwork.  You should provide the player with their player card and the Inter Team Transfer Form which they will turn in to their new team for processing.

 

If you are dropping a player from your roster, you will need:

Note:  You do not have to remove a player from your roster unless you need room on the roster to add new players. There is no harm in leaving them on the roster as long as you inform the Club Administrator they are no longer playing.

 

Steps to upload pictures:

  1. Click on "Player photos (beta)" or "Coach photos (beta)" link on the left-hand side of the team menu.
  2. Click on the "Upload photo" link to upload a picture for a particular player or coach.
  3. Click the "Browse" button to locate the file on your computer and click "Upload".
  4. The photo will display on the screen.  Check and make sure that it clearly shows the head shot (not full size).  If the picture is not acceptable, delete and upload a new photo.

Step 4     Provide paperwork to the Club Administrator for processing.  

 

Once all new coaches and players have completed E-SIGN, hand in all the paperwork to the Club Administrator for processing.

IN & KY OUT-OF-STATE PERMISSION TO PLAY

Players that are residents of Indiana or Kentucky must complete the Out-of-State Permission to Play form for that respective state.  This form is good for an entire seasonal year (Fall and Spring seasons).  The form must be remitted to the state along with the required payment.  The state will return an approved form and the approved form should be included with the registration paperwork.  Note that it might take a few weeks for the form to be processed by the state.

 

INDIANA

Go to the Team Admin>Important Documents page of the website for the Indiana Out-of-State Permission to Play form.

Required information:

State Association: OSYSA (Ohio South Youth Soccer Association)
Club Name:  Total Futbol Academy
League:  Greater Cincinnati Soccer League (GCSL)
Age Group:  U8, etc.
Return Completed Form To:  enter either the player's address/email/fax or that for the coach/admin (or, GCSL teams can enter the Club Administrator's info)

 

** It is recommended that the form be faxed to the state and that you call to make payment by credit card over the phone.  And, in the "Return Completed Form To" field, enter an email address and a pdf of the approved form will be emailed to you.  This will help expedite the process.

Note 1:  There is no longer additional paperwork for these players.
Note 2:  It will be the team's responsibility to let tournaments know that they have a U15 player on their roster.  Some tournaments may not allow the U15 player to participate.

 

THE PREMIER LEAGUE (TPL)

GCSL's premier league is called TPL.

Recording game Scores for TPL

All scores should be emailed to scores@thepremiereleague.com within 24 hours of the game being played. Please include the match date, age group, gender, and final score. If your game is rescheduled, please email the new date/time/location to the same email address.

GSDL League

The Greater Cincinnati Development League (GSDL) was created in Spring of 2017 as a development league for the U8 age group.

Registration for GSDL teams is handled through the GCSL online registration system.  Follow the steps outlined above for New Team Registration and Roster Changes During the Season.

LEAGUE SCHEDULES

 

Refer to the GCSL Important Dates document for information as to when league schedules will be posted on the GCSL website.  This document also outlines the dates by which all league games must be played.

Contact your opponents immediately after receiving the league schedule to determine if the games need to be rescheduled due to tournament or other conflicts.  See the Team Admin>Game Rescheduling page of our website for specific information regarding the process to reschedule games.

Other important notes regarding league schedules:

  • Refer to the GCSL League Playing Rules and GCSL 6v6 Playing Rules documents for additional information regarding GCSL rules, including pre-play and post-play rules.
  • Teams placed in Division 1 will only have 5 games scheduled on the original schedule.  After these first 5 games are played, the teams will be placed into 2 brackets and will self-schedule an additional 2 games against the other 2 teams in your bracket.
  • Some matches are scheduled on field ‘*’ with a noon start time.  This occurs when too many teams have been assigned by its club to a field, and on some days, there is not enough time to play all matches.  If you are scheduled for one of these matches, it is to be played the day it is scheduled, unless teams agree to pre-play.

ENTERING GAME SCORES

 

To enter game scores, log into the Team Admin area of the GCSL website.  Click on the “Record a Game Score” link.

The winning team (or Home team in the case of a tie) should enter the game score onto the website no later than 10:00 pm the night on the day the game was scheduled.

This is also the area in which you will enter new dates for games if they are rescheduled.  If a game is not played, then the code (reason why the game was not played) must be entered into the GCSL system by 10:00 pm the day of the game.  Click on the reschedule link and enter the appropriate code.  For example, if the game was cancelled due to weather/rainout, the code is "RO".  Then, you have one week from the date of the game to enter a reschedule date.  The game must be played within 3 weeks of the date of the rain out.

 

REFEREE FEES
